Privacy notice

This website is run by The Averleigh Golf Club Limited, a company registered in England and Wales, whose registered office is at Averleigh Lane, near Wadhurst, East Sussex TN5 6QX. In this notice, “the club”, “we” and “us” mean that company.

The club is the data controller for the personal information described here. If you have a question about it, write to the Secretary at the address above, email secretary@averleigh.co.uk, or telephone 01632 960 731.

We collect only what you choose to send us through the forms on this website, or by letter, telephone and email. Depending on the form, that may be:

• your name, email address and telephone number;
• the town or village where you live, your home club and your handicap index;
• for a visitor tee-time request, the date, time and number of players, and the names and handicap indexes of your party if you give them;
• for an introduction, the name of a member you know and how you would like us to reply;
• anything you write in a message.

We do not take payment details through this website, and we do not collect information about you from other sources without telling you.

We use your information to reply to you and to deal with what you have asked for: a tee time, a lesson, a table or a room, or an introduction to the club. The law allows this because it is in our legitimate interests to answer the people who write to us, and because it is a step you have asked us to take before any agreement with the club.

If you are introduced for membership, the Secretary shares your details with the committee and with your proposer and seconder, so that your candidacy can be considered. Where the law requires us to keep records, for example for accounting, we keep them to meet that obligation.

We do not send marketing, we do not sell or rent personal information, and we do not use it for automated decisions about you.

Your information is seen by the people at the club who need it: the Secretary’s office, and where relevant the committee, the House and the Golf Studio. It is also held by the companies that host this website and our email, under contracts that require them to keep it secure and use it only on our instructions.

That information is held in the United Kingdom or, where a provider stores it abroad, with the safeguards UK law requires. We share personal information with no one else unless the law obliges us to.

• General enquiries: twelve months from our last exchange with you.
• Visitor tee-time requests and lesson bookings: two years, so that we can answer questions about a visit.
• Introductions for membership: while your candidacy is open, and for two years afterwards if you do not join.
• Financial records: six years, as the law requires.

After that we delete the information or keep it only in a form that no longer identifies you.

Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct anything that is wrong or incomplete;
• ask us to delete it, or to restrict how we use it;
• object to our using it on the basis of our legitimate interests;
• ask for information you gave us in a portable form.

To use any of these rights, write to the Secretary or email secretary@averleigh.co.uk. We may ask you to confirm who you are. We reply within one month and there is normally no charge.

If you are unhappy with how we have handled your information, please tell the Secretary first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.

This website uses no analytics, advertising or tracking cookies, and no third-party trackers. Anything stored in your browser is strictly necessary for the site to work, such as remembering a choice while you use a form, and so does not need your consent under the Privacy and Electronic Communications Regulations.

If that ever changes, we will update this notice and ask for your consent before setting any cookie that is not essential.

Forms on this website are sent over an encrypted connection. Inside the club, personal information is kept in the Secretary’s office and on systems open only to those who need them.

We review this notice from time to time. The date below the heading shows when it last changed, and the current version is always the one on this page.
